Challenge
SwissRides just won a new contract and was already at capacity with its existing planning and scheduling resources. The new contract dictated that the schedule must be created within Oracle Primavera P6 and submitted electronically on a monthly basis. In need of immediate help from an organization with high expertise in Primavera P6, SwissRides turned to Ten Six for support.
Ten Six Approach
The Ten Six team started with an existing schedule that was already created in Microsoft Project and using our Microsoft Project Conversion Service, the schedule was migrated to Primavera P6. During this process, a line by line check through the schedule was performed to ensure that the conversion was completed successfully.
Once completed, a detailed review of the existing schedule was undertaken to identify areas where schedule quality could be improved and to help complete it for submission to the SwissRides customer. Monthly reporting requirements were defined and agreed upon by both SwissRides and its customer.
The schedule was accepted and then baselined with monthly updates being performed by the Ten Six team. Due to considerable time differences between Ten Six and SwissRides, a Ten Six proprietary update process was used to ensure efficiency and minimize any delays and errors.
We also assigned the same consultants for the whole duration of the project to maintain an effective, efficient process. This allowed us to keep project specific knowledge within the team and mitigate risks often associated with rotating project resources.
Results
Despite working to an incredibly tight timeframe, the initial schedule submission was a complete success and was approved by the Swiss Rides’ customer. The monthly update process was exceptionally smooth with almost all interaction among the SwissRides team being done via email.
The time difference between Ten Six and the local project team actually played to the projects advantage. All updates to the schedule were performed out of the local project office hours.
