Insights From Primavera P6 Through Power BI
In today’s world of project management, collaboration and data governance are key ingredients to success. Integrating Oracle Primavera P6 with Microsoft Power BI enables Project Managers (PMs) to share insights from Primavera P6 with various stakeholders, including engineers, corporate executives and field personnel.
This blog post delves into how Power BI’s workspaces, applications and desktop interface facilitates effective data sharing and governance.
Power BI Ecosystem: Desktop, Workspaces and Applications
Power BI Desktop: The Starting Point
Power BI Desktop serves as the foundational tool where PMs can import and transform data from Primavera P6, create visualizations and build reports. It’s a free application installed on a local computer, offering a rich, interactive environment for report design and data analysis.
However, Power BI Desktop is primarily for individual use and reports created here need to be published to the Power BI Service for broader sharing.
Workspaces: Collaboration Hubs
Workspaces in the Power BI service are collaborative spaces where teams can share, discover and work on Power BI content. Think of them as shared folders in the cloud. There are two types of workspaces:
- My Workspace: A personal workspace for individual use.
- Group Workspaces: Created for specific projects or teams, enabling multiple users to collaborate on dashboards, reports, and datasets.
In a project management context, PMs can create a group workspace dedicated to a specific project, where they can share reports with engineers and field personnel.
You can do this by clicking “workspaces” on the service and then click “New workspace”. After clicking on this, you will be directed to fill in all the information pertaining to your new workspace.
These workspaces facilitate real-time collaboration and ensure that all stakeholders have access to the latest project insights.
Workspace Permissions
Now, that you have assigned a workspace to a team, you can assign permissions to each of the team members (with their organization email) depending on their business intelligence responsibilities within the organization.
Admin: Has full control over the workspace. Admins can add or remove members, change members’ roles, publish reports, share datasets and more. They essentially have complete control over all aspects of the workspace.
Member: Can edit and update content in the workspace, including publishing reports. However, members cannot change workspace settings or delete the workspace.
Contributor: Similar to Members, Contributors can edit and create content in the workspace but have some restrictions compared to Members, particularly in terms of managing the workspace and sharing content.
Viewer: Has read-only access. Viewers can interact with the reports and dashboards but cannot edit or create content in the workspace.
Applications: Curated Content
Each workspace will get an application assigned to it. Applications in Power BI are a collection of dashboards and reports that are packaged and published from a workspace. They are the best way to distribute Power BI content to large audiences and are usually considered the finished product for report consumers. Applications allow PMs to provide a user-friendly, polished interface for interacting with the data.
Applications can be updated and maintained easily, ensuring all stakeholders receive the most recent version of the report. PMs can use applications to share high-level overviews with corporate executives or detailed reports with engineering teams, tailoring the content to the audience.
Data Governance and Security
Power BI provides robust data governance and security features. PMs can set permissions at the workspace or application level, controlling who can view, edit, or share the reports. This ensures that sensitive project data from Primavera P6 is securely managed and shared with the right individuals.
Use Cases for Collaborative Reporting
For Engineers and Technical Teams
PMs can create workspaces dedicated to technical aspects of a project, sharing detailed reports on project timelines, resource allocation and task progress. Engineers can access up-to-date data, offer feedback and make data-driven decisions directly from the workspace.
For Corporate Executives
Through Power BI applications, PMs can share summarized project reports with corporate stakeholders. These high-level overviews provide insights into project performance, budgeting and timelines, enabling executives to gauge project health and make strategic decisions.
For Field Personnel
Field personnel need accessible, actionable insights at the lowest level. PMs can publish reports to a workspace or application with data relevant to on-site activities. These reports can include schedules, safety metrics and task assignments. These can be accessible from mobile devices ensuring that field teams are always informed.
Insights From Primavera P6 Conclusion
Users can gain new insights from Primavera P6 through Power BI. The integration of Primavera P6 with Power BI revolutionizes collaborative project management. By utilizing Power BI’s workspaces and applications, PMs can effectively govern data sharing and ensure that all stakeholders, from engineers to executives, have the information they need. This approach not only enhances collaboration, but also ensures that decision-making is based on the latest, most reliable data in an easy to understand format.
