Today we’ll show how to create a monthly budgeted total cost report in Primavera P6 Professional.
Let’s say you have the budgeted total cost of your project, which is good to know. Your subcontractor performing the work, however, wants a monthly budgeted total project cost report. Yes, you can generate this cost report in Primavera P6 Professional.
Computing the total project cost is a good start. But your subcontractor may want a monthly total project cost report to support managing the project cost. To provide this you need to produce a time phased budgeted total cost report. Time phased reporting is possible in Primavera P6 Professional.
Let’s start with our demonstration project shown below in Figure 1.

The schedule includes a nice Gantt chart and, additionally, tabulated budgeted labor, material, and total costs. Your subcontractor, however, wants to know how much funding to set aside each month for work performance. This report, again, requires generating the time phased budgeted total cost distributed for the life of the project. Primavera P6 Professional has a time phased reporting feature to provide the monthly budgeted total cost of the project.
Let’s proceed and create a time phased budgeted cost report. To generate a report select the reports icon in the enterprise menu and select Edit | + Add. This activates the report wizard. In the report wizard select subject area dialog, toggle time distributed data and choose activities, Figure 2.

Continue by selecting next.
Click columns in the dialog configure selected subject areas, Figure 3.

Simply select activity ID and activity name, Figure 4, and click OK.

Choose group & sort in the dialog configure selected subject areas. Toggle show grand totals, Figure 5.

Select OK. A filter is not required, so choose next.
In the date options dialog click timescale, Figure 6.

Confirm the date interval is set to month, Figure 7.

Click OK. Now select time interval fields in the date options dialog. Select the budgeted total cost option, Figure 8.

Click next.
Type in a suitable report name, Figure 9.

Select print preview and the report appears similar to Figure 11.

We have the budgeted total cost of the project distributed from January through April, and the period total.
Summary
Once you have the total budgeted cost of the project the next step is to distribute this cost over the life of the project. Create a time phased report to capture the monthly budgeted total project cost throughout the life of the project. In addition to a cost report in Primavera P6 Professional, P6 has an activity usage spreadsheet that also disburses the budgeted total cost across the project life time.
