Often Primavera P6 Professional users need to report schedule progress to stakeholders. Primavera P6 reporting supports efforts to report tabulated project progress data.
It is possible in Primavera P6 Professional to print a PDF file of the schedule activities table and Gantt chart. This works great to present schedule status to stakeholders. Sometimes, however, stakeholders want to review tabulated data of schedule progress. Primavera P6 reporting can produce tabulated reports of schedule progress through its report feature.
This article demonstrates how to generate a tabulated report of schedule progress using the Primavera P6 reporting capabilities.
Primavera P6 Reporting
In Figure 1 below, is our demonstration project.
Figure 1
This figure plots the activities table and Gantt chart, which is a very useful plot to present to stakeholders. If, however, your stakeholders want tabulated data we must use the reports feature in Primavera P6 to generate a suitable tabulated report.
To create a tabulated report first select the reports icon in the enterprise tool group, Figure 2.
Figure 2
While in reports select Edit | + Add and the report wizard pops up, Figure 3.
Figure 3
Click next and select activities in the select subject area dialog, Figure 4.
Figure 4
Now in the select additional subject areas select activity steps, Figure 5.
Figure 5
Two of our schedule activities use steps, so we want the report to tabulate the steps progress on these activities. After moving activity steps to the selected subjects area frame click next, which brings us to configure selected subject areas, Figure 6.
Figure 6
Highlight activities and select columns, Figure 6. This brings up the familiar columns feature. As per our demonstration we select all the options displayed in Figure 7.
Figure 7
Now we do not have to do anything for Group and Sort, but to make certain the group and sort does not have a group by criteria click group & sort. As expected, the group and sort has no group by criteria, Figure 8.
Figure 8
No filter is required for our report. Great! We are now done configuring activities for the tabulated report.
Let’s now configure the steps. Highlight steps and click columns, Figure 9.
Figure 9
In the columns dialog select all the options pertinent to tabulating steps data, Figure 10.
Figure 10
We do not need to worry about group & sort or filter features. In Figure 11 we type in a suitable name for our tabulated report.
Figure 11
Click run report, Figure 12.
Figure 12
Toggle print preview and select OK, Figure 13.
Figure 13
Our tabulated report is now shown in Figures 14 and 15.
Figure 14
Figure 15
Note the steps for the mobilize activity. The mobilize steps are complete. Also observe that activity W1060 Set Foundation is 80% complete. The project management activity that spans the duration of the project is 30.71% complete. After you review your tabulated report and it looks agreeable click save report, Figure 16.

Summary
The Primavera P6 Professional report wizard provides step by step dialogs for generating a tabulated schedule progress report. Tabulated reports maybe previewed, sent to a printer, attached in an email, or saved to an ASCII text file.
The ASCII text file option generates an Excel spreadsheet of the schedule. This spreadsheet may be used to support team member input for schedule progress. You may for instance have team members populate the spreadsheet with activity % complete, remaining duration, or, possibly, expected finish date columns. The spreadsheet is a good way to solicit team member schedule progress input. Manually enter the spreadsheet data into Primavera P6.
