How to Restrict Access to Cost Information in Primavera P6 EPPM
Sometimes companies need to restrict access to cost information to a select few, for example, pay rates. So how does Primavera P6 Enterprise Project Portfolio Management (EPPM) hide labor pay rates from all schedulers? After all, Primavera P6 schedulers need to access labor rates to determine project costs and this budgeting software supports and relies upon a resource database which covers personnel pay rates.
Primavera P6 Enterprise Project Portfolio Management (EPPM) is a global database which is available to all users. Therefore, restricting labor pay rates poses a real problem, because you wouldn’t want everyone in the company to know an employee’s pay rate.
The answer is to limit the access of resource data to a select few employees in the company.
To restrict an employee’s access to personal pay rates, we need to set the global security profile and the project security profile. The Global security profiles are directly assigned to employees, whereas the Project security profiles are assigned when the Organizational Breakdown Structure (OBS) meets the Enterprise Project Structure (EPS).
In the following example, we want to restrict the personal pay rate of the Project Manager.
First, we select ‘Global Security Profiles’ and, by highlighting the Project Manager, under ‘Resources’, we take away the Project Manger’s ability to ‘View Resource and Role Costs/Financials’.
This is the view (shown above) that an individual who is assigned the Project Manager’s privileges would see if they tried to access labor rates. Primavera P6 EPPM can define five different labor rates for an individual resource, and all five labor rates are lined out.
Now we have to set the Project security profiles. Because, although any user who is given the project manager global security privileges won’t be able to see the resource labor rate, unfortunately by assigning a user to an activity for an hour, a determined employee can exploit the system and find out resource’s labor rates.
So we return to ‘Users Access’ on the dashboard we select ‘Project Security Profiles’.
And by selecting ‘Project Manager-1’ we remove the security privilege to ‘View Project Costs/Financials’.
This will restrict any user who is assigned ‘Project Manager -1′ project security profile from acquiring any project cost data. We have protected sensitive personnel data to only selected employees within the company who are required to know personnel rates.
Summary
Primavera P6 EPPM stores labor rates and project data centrally. Administrator’s need to restrict access to cost information such as project-specific budget data as well as global pay rate data to ensure that unscrupulous employees don’t gain access to this confidential data.
