Primavera P6’s Work Products and Documents feature enable schedulers’ to catalog and keep track of all project-related documents and deliverables.
When a project commences there are typically a variety of documents associated with it. For example, in the planning stages, there will be safety standards, design templates, associated guidelines, blueprints, work schedules, and manuals to adhere to.
During the project life cycle, work products or activity deliverables such as testing plans, revision data, or CAD files can be stored, for the customer at the end of the project.
As a project progresses, it is possible to assign a work product or document to an activity in your schedule. These can be viewed privately by the project manager or a stakeholder, or publicly by the whole project team. How is this done? Let’s take a closer look.
In the example below, the project manager has tasked us with assigning a product data-sheet, ‘Restrained Flange Adapter’ to an activity ‘Install Piping & Couplings’ in our schedule. Due to the sensitive nature of the product data-sheet, the Project manager would like us to set the permissions to private, for his eyes only.
First, we access our Project and click on ‘WPs & Docs’ as shown below:
In the ‘WPs & Docs,’ we click edit and add our title product data-sheet ‘Restrained Flange Adapter’ along with the reference number ‘RFA00012′. Using the ‘Status’ tab, from the drop-down dialog box we select ‘Under Review’.
To insert our Product data sheet ‘Restrained Flange Adapter’ we access the Admin Categories and under ‘Document Categories’ we select ‘Product Data Sheet’ and click +Add.
By returning to the ‘WPs & Docs’ under ‘Description’ we add ‘Restrained Flange Adapter Product Data Sheet’. At the same time by clicking Files we provide a link to our product data sheet privately, for the Project manager.
Next, we assign the work product, ‘Restrained Flange Adapter Product Data Sheet’ to the activity ‘Install Piping & Couplings’, as shown below.
Finally, when we review our activities table in the Gantt chart, under the ‘WPs & Docs’ tab displayed is our Product Data Sheet ‘Restrained Flange Adapter PDS’ which, only the project manager can view.

Primavera P6’s Work Products and Documents feature allows schedulers to store project-related documents centrally and the assignment of these documents can be made either private or public. During your project progression, you can assign the same work product or document to one or more activity, as your project’s activity details unfold.
